At Douglasville Dental Excellence, our goal is to provide high-quality, personalized dental care in a comfortable and respectful environment. The following policies help us maintain an efficient schedule while ensuring every patient receives the time and attention they deserve.
1. Out-of-Network Provider
Douglasville Dental Excellence is a fee-for-service dental practice and an out-of-network provider for all insurance plans.
Being out-of-network allows our team to focus on quality, personalized care and clinical excellence rather than insurance limitations.
This means:
- We are not contracted with insurance companies.
- Treatment recommendations are based solely on what is best for your dental health.
- Insurance benefits vary depending on your individual plan.
Many patients with PPO insurance plans still receive partial reimbursement for treatment at our office.
2. Insurance Claims as a Courtesy
Although we are out-of-network, we are happy to assist our patients by filing insurance claims on their behalf as a courtesy.
Our team will:
- Submit your insurance claim electronically.
- Provide all necessary documentation for reimbursement.
- Help answer questions regarding your insurance benefits.
Please note:
- Insurance benefits are a contract between you and your insurance provider.
- Any estimated coverage is not a guarantee of payment.
- The patient remains responsible for any balance not covered by insurance.

3. Financial Policy
Payment for services is due at the time treatment is provided unless other arrangements have been made in advance.
For your convenience, we accept:
- Cash
- Debit cards
- Major credit cards
- Third-party financing options (such as CareCredit or Cherry, if offered)
For larger treatment plans, we are happy to review available financing options to help make care more accessible.
Our goal is to ensure you clearly understand the cost of treatment before care begins.
4. Appointment & Cancellation Policy
We reserve dedicated time for every patient appointment to ensure that you receive our full attention and personalized care.
If you need to reschedule your appointment, we kindly request at least 24 hours’ notice.
Appointments that are missed or canceled with less than 24 hours’ notice may be subject to a cancellation fee of $50.
Late cancellations and missed appointments make it difficult for other patients to receive care during that reserved time.
We appreciate your understanding and cooperation.
5. Credit Card on File Policy
To help maintain our appointment schedule and minimize missed appointments, we may request a credit or debit card on file when scheduling appointments.
Please note:
- The card is securely stored using a compliant payment system.
- No charges will be made without your knowledge for treatment services.
- The card may be used only for applicable fees such as missed appointment or late cancellation fees as described in our policy
This policy allows us to continue providing efficient scheduling and timely care for all of our patients.
